Pleo is a business spending solution that offers smart payment cards and automated expense reports. Pleo collects receipts, categorizes expenses based on previous behavior, and creates expense reports.
The Pleo integration
The Pleo integration automatically imports your payment transactions with a PDF invoice from TravelPerk as soon as you book a trip on TravelPerk.
TravelPerk allows Pleo to read your company's TravelPerk invoice data, including the trip ID, total booking amount, currency, PDF invoice and booking category like flights or hotels.
Only bookings made using a Pleo card are automatically added to your Pleo account.
How it works:
- A booking is made on TravelPerk using a Pleo card.
- When tag syncing is enabled and configured for your entities, the user can select Pleo tags for a trip. The available tags are shown based on the company selected for the payment and are applied to the matching transaction in Pleo.
- Changes to tags in Pleo will sync to TravelPerk.
- Tags in TravelPerk are refreshed automatically every 24 hours or can be refreshed manually at any time from the integration configuration page.
- The purchase will automatically be categorized in Pleo and the invoice from TravelPerk will automatically be added to the expense, so there is less manual work.
- If a personal Pleo card is used, the transaction and invoice are added to the cardholder's account. If a vendor card is used, they're added to the Pleo account that owns the card.
Enable the Pleo integration
You must be an admin for both the Pleo and TravelPerk accounts.
The Admin who enables the integration needs to remain an active Admin on TravelPerk for the integration to continue working. In Pleo, the installation is tied to the company account and can be managed by any admin for the account.
Only bookings made using a Pleo card are automatically added to your Pleo account. To add a Pleo card to your account, see Create, edit, delete, or archive a payment profile.
To enable the Pleo integration, follow these steps:
- Go to Account Settings
- Select Integrations
- Find the Pleo integration and click Set up
- Click Enable
- Authorize the integration to access your Pleo data. For multi-entity organizations, this includes authorizing organization-level connections.
- Authorize the TravelPerk Integration to have access to your invoice data
If you have multiple entities, make sure they're all added in both TravelPerk and Pleo before enabling the integration.
Configure the Pleo integration
- Go to Account Settings
- Select Integrations
- Find the Pleo integration and click Set up
- Click Configure next to Sync cost fields
- Choose which tags you want to sync from Pleo to TravelPerk. All unselected tags will be archived and won’t be visible to travellers.
Tags are refreshed on TravelPerk every 24 hours. They can be initiated on demand from the integrations configurations page on TravelPerk.
Custom fields imported through the Pleo integration no longer count towards the plan limits.
Multi-entity organizations
If your organization has multiple entities associated with your TravelPerk and Pleo accounts, follow these steps:
- Go to Account Settings
- Select Integrations
- Find the Pleo integration and click Set up
- Review and match your Pleo entities to companies in TravelPerk and click Confirm and continue
- For each TravelPerk company, click Configure in the Action column to select which tags you want to sync from Pleo to TravelPerk
- Choose the specific tags you want to sync. All unselected tags will be archived in TravelPerk and won’t be visible to travelers.
- To save your tag selections for that company, click Sync tags
- Repeat this for all TravelPerk companies you want to configure
- To finalize the integration, click Complete set up at the bottom of the main table
Tags won't be synced for companies that you did not configure. Tags are refreshed on TravelPerk every 24 hours. They can be initiated on demand from the integrations configurations page on TravelPerk.
Using the Pleo integration
- Book a trip on TravelPerk using your Pleo card
- Choose from the Pleo tags you've set up in TravelPerk - if applicable
- Once the booking is complete, go to your Pleo account and open the Expenses section. You’ll see a new transaction with a title that includes TravelPerk.
- The PDF invoice will appear within a few minutes, along with any tags you selected during booking. Click the transaction to view the invoice.
- Click the preview to open it
Disable the Pleo integration
Admins can disable the Pleo integration by following the instructions on Manage integrations.
